Terms and Conditions for Travel Bookings

  1. Booking and Payment Policies
    • Booking Confirmation:
      • Your booking is confirmed only upon full receipt of the payment or a deposit as specified by us.
      • Until payment is received, bookings are treated as provisional and subject to availability.
    • Payment Terms:
      • Full payment must be completed before the specified deadline or trip departure, whichever is earlier.
    • Accepted payment methods will be communicated at the time of booking.
    • Non-payment by the deadline may lead to automatic cancellation of the booking without notice.
    • Late Bookings:
      • Bookings made within a short timeframe before the departure may require immediate full payment and are subject to availability.
  2. Cancellation and Refunds
    • Cancellation by Traveler: Cancellation requests must be made in writing. Cancellation fees are applicable as follows unless otherwise stated:
      • More than 30 days before departure: 10% of the total booking cost if payment is already made by us to the service providers. Else full refund possible.
      • 15-30 days before departure: 50% of the total booking cost.
      • Less than 15 days before departure: 100% of the total booking cost (no refund).
    • Refunds:
      • Refunds will be processed based on supplier policies and may take up to 7 days to process.
      • Cancellation fees, administrative charges, and any non-refundable deposits will be deducted from the refund amount.
    • Cancellation by Us:
      • We reserve the right to cancel trips due to unforeseen circumstances such as force majeure events, insufficient participant numbers, or safety concerns. In such cases:
      • A full refund or rescheduling option will be offered.
      • Our liability is limited to the refund of the amount paid by you.
  3. Itinerary Modifications
    • Changes by Us:
      • We reserve the right to modify itineraries, including but not limited to transportation, accommodations, and activities, due to weather conditions, safety concerns, or changes in local regulations.
      • Substitutions of equal or better value will be provided whenever possible. No refunds will be provided for minor changes.
    • Changes by the Traveler:
      • Requests for itinerary changes by travelers will be accommodated at our discretion and may incur additional charges.
  4. Responsibilities and Obligations
    • Health and Fitness:
      • Participants are responsible for assessing their physical and mental fitness to undertake the activities included in the itinerary.
      • It is recommended that travelers consult a healthcare professional regarding vaccinations and health precautions prior to travel.
      • We are not liable for any health issues that arise during or after the trip.
    • Travel Insurance:
      • Comprehensive travel insurance is mandatory and must cover trip cancellations, medical emergencies, accidents, loss of belongings, and other unforeseen events.
      • It is the traveler’s responsibility to provide proof of insurance prior to departure.
    • Travel Documents:
      • Travelers must ensure that they have valid passports, visas, permits, and any other required documentation for the trip.
      • We are not responsible for delays or losses arising from incomplete or incorrect travel documents.
    • Behavior:
      • Respectful and cooperative behavior is expected toward staff, other travelers, and locals.
      • Unruly, disruptive, or illegal conduct will result in immediate removal from the trip without a refund.
  5. Prohibited Conduct
    • Drug and Alcohol Policy:
      • Illegal drug use is strictly prohibited.
      • Travelers found using or in possession of illegal substances will be reported to local authorities and removed from the trip immediately without refund.
      • Excessive alcohol consumption leading to disruptive behavior is not tolerated and may result in removal from the trip.
    • Local Laws and Customs:
      • Compliance with all local laws and cultural norms is mandatory.
      • We are not responsible for any legal issues arising from non-compliance.
  6. Liability and Disclaimers
    • Limited Liability:
      • We are not liable for any loss, damage, injury, or delay caused by circumstances beyond our control, including but not limited to natural disasters, political unrest, and third-party failures.
      • Our liability is limited to the amount paid by you for the trip.
    • Third-Party Services:
      • We act as agents for third-party suppliers such as airlines, hotels, and transport operators. We are not liable for their actions or omissions.
    • Personal Belongings:
      • Travelers are responsible for the safety of their personal belongings. We are not liable for theft, loss, or damage.
    • Force Majeure:
      • We are not liable for cancellations or disruptions caused by events beyond our control, such as war, natural disasters, pandemics, or government-imposed restrictions.
  7. Indemnification
    • Travelers agree to indemnify and hold harmless DeeTours from any claims, damages, or expenses arising from their participation in the trip.
  8. Acceptance of Terms
    • By proceeding with a booking, travelers confirm that they have read, understood, and agreed to these Terms and Conditions. Failure to comply with these terms may result in cancellation of the booking without refund.
